GENERAL SUMMARY: Provides administrative support for the Center for Student Involvement (CSI) and the Alston Campus Center (ACC) within the guidelines federal, state and local laws and college and office/departmental policies and procedures. Reports to the director of student activities and supports the daily operations of the office. Works with students and their families in various events, student workers, staff, faculty and vendors. This position also provides additional support for the assistant dean for student development.

ESSENTIAL JOB FUNCTIONS

  1. Provides administrative services to the Center for Student Involvement including office supplies and inventory.
  2. Performs administrative duties for the CSI including, answers telephone calls; handles mail; greets visitors; and schedules appointments, meetings and room reservations.
  3. Initiates, processes, submits, and maintains records for purchasing cards, requisitions, purchase orders and reimbursements; informs managers of account(s) status; prepares spreadsheets; and identifies cost effective alternatives.
  4. Liaisons with on or off-campus vendors.
  5. Serves as content manager for the internet and intranet sites and monitors social media sites related to the Center for Student Involvement.
  6. Assists with the daily operation and needs of the Alston Campus Center in maintaining an effective, efficient, clean and safe building.
  7. Approves flyers and posters to be displayed in the ACC.
  8. Assists the Alston Campus Center building manager on all work orders and provides an equipment and furniture replacement schedule.
  9. Creates, edits, and updates publications including but not limited to P Card policies, Alston Campus Center posting policy, and use of items within the CSI.
  10. Supervises work-study students and maintains student work schedule.
  11. Assists with daily update of content within the Division of Student Affairs Calendar of Events.
  12. Serves on college committees as assigned by Assistant Dean for Student Development.
  13. May need to work some evenings and weekends.

REQUIREMENTS

Education: High school diploma required. BA or BS preferred. Knowledge of student life programs and services preferred.
Experience: Minimum two years of administrative support experience. Preference will be given to individuals who have previously worked in higher education settings.
Knowledge/Skills/Abilities:

  • Excellent verbal and written communication skills, strong organizational and administrative skills, and close attention to detail.
  • Considerable knowledge of modern office procedures and familiarity with standard office equipment and multi-line telephone systems.
  • Familiarity with office/departmental policies and procedures.
  • Proficiency in Windows-based computer applications: MS Word, Excel, Power Point, and Publisher.
  • Familiarity with Event Management System (EMS).
  • Ability to navigate internet and execute online searches.
  • Knowledge of web design preferred.
  • Demonstrated ability to work independently and maintain confidentiality.

Other:

  • May supervise and/or train designated personnel.
  • May occasionally be required to work irregular hours.
  • Periodic travel required from office to other locations on and off campus.
  • Possess or have ability to obtain a valid Georgia state operator/driver's license for the type vehicle or equipment operated.

PHYSICAL DEMANDS
Intermittent sitting, standing, stooping, crouching, walking, occasional moving of light objects. Work is performed in an office.
